Administrative and Accounting Assistant

Position Overview

In this key position, you ensure that daily workflows run smoothly. You will work closely with management, human resources and accounting and support administrative tasks in an international environment. You are the first point of contact for business partners and guests and represent the company.

Responsibilities:

  • International travel management including flight and hotel bookings as well as planning and coordination of meetings
  • Supporting activities for planning and organization of events (e.g. trade fairs and company events)
  • Handling of special projects such as facility management and renovations on behalf of management
  • Market analysis and research for executive management
  • Administrative support of HR department (e.g. conference planning, company and employee activities.)
  • Perform the full range of office administration processes and functions, including incoming calls and purchasing office supplies and equipment and supporting visitors, customers and suppliers
  • Supporting accounting in managing bank transfers, organizing bank statements, checking and submitting invoices and travel expense reports
  • Execution and verification of payments
  • Cooperation with banks, auditors and authorities as required
  • Working with the external tax office for the annual audit and tax return
  • Further diverse projects, initiatives and tasks as required

Requirements/Skills:

  • Completed apprenticeship or equal education in business administration
  • 1-2 years of work experience are preferred
  • Strong interpersonal and communication skills
  • Fluent in spoken and written German and English (at least B2)
  • Team player with a global mindset
  • Good Microsoft Office knowledge (Excel/PowerPoint/Word/Outlook)
  • Excellent organizational, project and time management skills as well as the ability to work independently and across tasks and departments
  • Soft Skills: attention to detail, quick comprehension, reliability, proactivity and discretion
